The Netsphere (“we,” “us,” or “our”) is an IT system and data services company headquartered at 111 S Cherry St, Olathe, Kansas 66061. This Privacy Policy explains how we handle information from website visitors, prospective clients, and active managed service clients. We hold Cisco Premier Partner, Microsoft Gold Partner, and AWS Partner credentials and operate in compliance with applicable Kansas and federal privacy laws.

2. Data We Collect

• Contact information submitted through our website (name, company, email, project description)
• Technical data collected automatically (IP address, browser, pages visited, session duration)
• Client account and billing information under service contract
• Network and IT environment data collected during managed services delivery (topology, device inventory, configuration)
• Support ticket and communication records

3. How We Use Your Data

• Responding to infrastructure assessment and consultation requests
• Delivering managed network, data, and IT services under contract
• Sending service updates, invoices, and support communications
• Conducting 24/7 NOC monitoring and security alerting
• Improving service delivery through aggregate, anonymised analysis

4. Data Sharing

Client network and data environment information is treated as strictly confidential and governed by our standard Non-Disclosure Agreement included in all service contracts. We do not sell client data. Sub-processors (monitoring platforms, ticketing systems, cloud vendors) are bound by data processing agreements. We respond to valid legal process and notify clients where permitted by law.

5. Security

The Netsphere applies to its own infrastructure the same standards we implement for clients: encryption at rest and in transit, multi-factor authentication on all internal systems, annual third-party security assessments, and role-based access controls. HIPAA client data is handled under executed BAA and HIPAA-compliant protocols. CMMC-related client information is handled under applicable NIST SP 800-171 controls.

6. Cookies

Our website uses essential cookies and Google Analytics for aggregate traffic measurement. No advertising or cross-site tracking cookies are deployed. Analytics data is anonymised and not linked to individual client records. You may disable cookies in your browser settings without affecting our services.

7. Your Rights

You may request access to, correction of, or deletion of information we hold by emailing info@thenetsphere.com. Kansas residents and California residents (CCPA) have specific data rights that we honour. We respond to all data subject requests within 30 calendar days.

8. Retention

Website contact records: 3 years. Active client records: contract duration plus 5 years. Network configuration and environment data: returned or deleted within 90 days of contract termination per our standard Service Agreement. Financial and billing records: 7 years per IRS requirements.

9. Children

Our services are directed at business operators. We do not knowingly collect personal information from individuals under 13. Education sector clients are responsible for student data compliance (FERPA) within their managed environments.

10. Changes

Material changes to this policy will be communicated to active managed service clients via email at least 30 days prior to taking effect. The “Last Updated” date at the top reflects the most recent revision.
